How to Check In with a QR Ticket at an Event in Ghana

8 November 2026

You bought your ticket with Hubtel, and now all you need to do is open the QR code on your phone and hold it up at the entrance. That is genuinely the whole process, but a few small details make the difference between a smooth walk-in and standing in a queue wondering what went wrong.

What Your QR Ticket Actually Is

When you purchase a ticket through Vennuzo, the confirmation lands in your phone as a unique QR barcode. It is not a screenshot you can forward to a friend, and it is not a printed piece of paper. It lives in your Vennuzo app or in the confirmation message Hubtel sends you, and it is tied to your phone number and the specific event you bought for.

Think of it the same way you think of a mobile money receipt: it proves you paid, it is one-time use, and it is linked to you. The person scanning it at the door sees a code, not your name, your photo, or your transaction history. They just confirm it is valid and mark you as checked in.

Before You Head Out

A few minutes of preparation saves you at the door. Here is what to do before you leave the house:

  • Open the Vennuzo app and confirm your ticket is sitting in your "My Tickets" section. If you bought through a Hubtel prompt, the ticket should appear there automatically.
  • Make sure your phone has at least 20 percent battery. You will need the screen lit up at the entrance.
  • If your phone is on low data or you are worried about a dead zone near the venue, open the QR code once and let it render fully on screen. The code itself does not need a live connection to be scanned, but loading it while you still have signal removes a variable.
  • Close heavy background apps. You want the QR code to pop up fast when the person in front of you steps aside.
  • If you are going with friends, each person needs their own ticket and their own code. One QR code equals one entry, full stop.

At the Entrance: Show Your Code

Arrive at the venue, find the check-in point. At G+ Nightclub on UPSA Road in Madina, the team will have a tablet or a phone with the Vennuzo Studio scanner open. You do not need to say a word. Just hold your phone up, screen facing them, with the QR code centred and bright.

The scanner will beep or flash green. The organiser sees your name pop up on their screen, taps confirm, and you are in. The whole interaction takes about three to five seconds. You do not need to show your ID, recite your name, or explain where you are from. The code is the proof.

If the queue is long, a small tip: have your phone already unlocked and the QR code open before you reach the front. The person scanning does not want to wait for you to swipe, type a PIN, and dig through notifications.

If Something Goes Wrong

It is rare, but here are the things that can actually happen and what to do:

  • The code will not load. Close the app, reopen it, and try again. If your data is down, the code you already rendered on screen should still scan. If it truly will not appear, show the organiser your Hubtel transaction receipt. They can verify manually from Vennuzo Studio.
  • You bought the wrong event or the wrong date. The code will scan but the organiser will see a mismatch. You will need to go back to Vennuzo, cancel if the window allows, and repurchase. This is why double-checking the event title and date before you pay matters.
  • Your phone dies at the door. Keep your Hubtel SMS confirmation as a backup. The organiser can look up your number in their system and let you in. It is slower, but it works.
  • You are trying to use a friend's code. It will not work. Each code is single-use and tied to one entry. If your friend already scanned, that code is spent.

Tips for a Smooth Check-In

  • Arrive a little before the posted start time if you can. The queue is shorter, the scanner is less stressed, and you get a better spot inside.
  • Keep your screen brightness up. A dim QR code can be harder for the scanner to read, especially under the warm lighting of a nightclub in Accra.
  • Do not put a screen protector with heavy glare over the code area if you can help it. A small reflection is fine, but a thick, bubbly protector can confuse the scanner.
  • If you are attending a multi-day event, you get a separate code for each day. Do not assume one ticket covers all nights unless the event page says so.
  • You can browse what is coming up and grab tickets for the next night or weekend by browsing the events page on Vennuzo at /events, so you are never scrambling to find something good at the last minute.

For Organizers: Making Check-In Effortless

If you are running the event, the Vennuzo Studio check-in screen is your best friend. Open it on a tablet at the door, and your team can scan codes without touching a phone. You see a live list of who has arrived, who has not, and how many tickets are left. You can also flag a code as "used" if someone tries to scan it twice.

Before the event, do a quick test scan with your own ticket. Confirm the scanner app is updated, the tablet has data, and the check-in list is synced. Five minutes of testing before doors open saves twenty minutes of confusion after.

And one last thing: tell your team the exact flow. Phone up, scan, green flash, welcome in. When everyone at the door knows the rhythm, the queue moves fast and nobody feels like they are bothering someone. Your guests walked into Madina or down the Accra motorway to be there. The least you can do is let them in without a lecture.

That is the whole system. Buy with Hubtel, open the code, hold it up, walk in. Simple, fast, and yours.
